The Role
We are looking for a highly organized, detail-oriented and proactive Project Manager to join Kvadrat Art Lab.
In this role, you will be the main point of contact for artists and clients throughout the development and production of woven textile artworks. You will coordinate multiple projects simultaneously and help guide them from early planning and sampling through production, logistics and final delivery.
The role combines project coordination, client communication, planning and organizational oversight in a highly creative and technically specialized environment. You will work closely with artists, technicians, suppliers and management to ensure projects move smoothly, timelines are maintained and communication remains clear throughout the process.

Key Responsibilities
Project Coordination & Planning
- Coordinate multiple artist and client projects simultaneously
- Create and maintain project timelines, schedules and planning overviews
- Monitor project progress and support smooth execution across all phases
- Coordinate sampling, approvals and production milestones
- Identify planning risks and proactively help resolve bottlenecks
Artist & Client Communication
- Act as the primary contact person for artists, galleries and clients
- Guide clients through the development and production process
- Maintain professional and thoughtful communication throughout each project
- Support a positive and collaborative client experience
- Handle sensitive and high-value projects with care and discretion
Production & Material Coordination
- Coordinate closely with weaving technicians and production teams
- Organize yarns, materials and external purchases in a timely manner
- Support material planning and monitor lead times
- Help oversee logistics, shipping and delivery coordination
- Assist in maintaining production overview and workflow planning
Financial & Administrative Support
- Support project budgeting and quotation preparation
- Monitor project-related costs and purchasing overview
- Coordinate pre-payments and administrative project follow-up
- Support contracts, project documentation and terms & conditions
- Report project status and escalate risks or concerns to management where needed
Internal Collaboration
- Work closely with the Art Lab team and management
- Contribute to building structured workflows and project processes
- Help maintain a high level of organization across the department
- Support the continued growth and development of Kvadrat Art Lab
Candidate Profile
We are looking for someone who is structured, communicative and excited by working within a creative and technically specialized environment.
Preferred Experience
- Experience in project coordination, production planning or client management
- An affinity with or background in design, textiles, art, interiors, fashion, architecture, or the creative industries (preferred, not required).
- Experience managing multiple projects simultaneously
- Strong organizational and administrative skills
- Comfortable coordinating with external suppliers and stakeholders
- Strong in communicating deadlines and possible effect on total project scope
